Membership

The membership of the society is open to any person or persons who has attained the age of majority and fulfils the terms and conditions of the society without discrimination of the religion, caste, color or creed but subject to the approval of the governing body, if the membership is refused to a certain person or persons, the reason for refusal shall be communicated to the person concerned.

Subscription

The rate of subscription for all the members shall be Rs. 51/- per month and admission fee will be Rs 101/-.

Termination of Membership

The governing body of the society shall have the power to expel any member from the society on the following terms and conditions/grounds :

On his/her death

If the member fails to pay timely subscription, continuously for three months from the due date of the paying of the subscription.

If the member fails to attend three consecutive meetings of the general body without any intimation.

If the member works against the aims / objectives of the society.

If the member tenders his / her resignation.

By no confine motion passed by 2 / 3rd majority of votes in the general body meeting.

If the reasons of the termination from the membership shall be communicated to every member. Every such expelled member shall have a right to appeal before the governing body which may or may not be accepted.

APPEALS

All the appeals shall be preferred to General body shall be final.

The reasons for rejection shall be communicated to the member concerned including the office bearers.

RE-ADMISSION  

In case of member expelled by the General body the same can be re-admitted providing the members concerned pays all up to date dues. The decision of the general body shall be final.

Rights and privileges of the members

There every member shall have right to participate in the general body meeting and shall also be entitled to inspect records of the society which has prior approval of general body, decided his / her shall have also right to vote in the meetings of the society and every member shall be entitled to participate in the meetings, functions and get to gather in the programmes of the society pertaining to any matter of the society.

General Body 

There shall be governing body of the society consisting of all the members. The meeting of the general body shall be held after every three months. The quorum shall be required in the adjourned meeting and emergent meetings of the general body, which may also be summoned on the written request of 10 days with prior notice for such meetings.

The agendas to be discussed in the general body meeting may be as follows -:

To prepare annual programmes and policies.

To discuss and to decide all such issues which are directly or indirectly related to the affairs of the society.

To pass annual project of the society

To appoint a qualified auditor who will audit all the accounts of the society.

To consider any business brought forward by the governing body.

All the meetings of the general body summoned by the president or the general secretary.

At the general body meetings it shall consider the budget, financial statement and balance sheet etc. (at least 30 clear days notice shall be given to executive body for holding meetings).

On the written requisition of the one fourth of the members of general body special meetings which should be summoned by the president.

The general body shall have power to review the policy and work of executive body formalities, policies, pass the resolutions and recommendations regarding matters of the common concerned for all members for   such formulations of policies, critimis if any resolutions, suggestions of policies and recommendations shall be considered by the executive body given effect to us as far as participants.

Governing body

There shall be a governing body of the society to look after and manage the day-to-day efforts/affairs of the society. It shall consist of minimum 7 and maximum14 members as below:

Secretary One
Joint Secretary One
Treasurer One
Executive members Minimum 2 to Maximum 9

 

Quorum

The quorum will be of society of 2 /3 majority and the members.

Office Bearers and their duties           

PRESIDENT

He will preside over all the meetings of general body and governing body

He has right to spend of Rs. 500/ for the cause of society, for more amounts it needs the approval of the governing body.

In case of equality of votes in admitting he will tender his costing vote.

 

VICE- PRESIDENT  

In the absence of the president, he will enjoy all the powers and duties which are entrusted to the president.

GENERAL SECRETARY

He/She may undertake all types of correspondence on behalf of the society.

He/She may have the right to spend Rs. 500 for the cause of governing body meetings and society.

He/She will supervise work of the other office bearers from time to time

He/She will undertake all types of correspondences on behalf of the society.

He/She will keep all types of records of the society including the register of members containing therein the names, addresses and other brief particulars.

He/She will convince the meetings of general body, governing body and he/she will also inform every member regarding time, date, and places of the meetings through a 10 days earlier  written notice.

He/She shall have power to sign the documents on behalf of the society.

He/She shall summon and attend the meeting of the society

He/She shall have power to represent the society in the legal proceedings and judicial litigation.

SECRETARY

In the absence of the general secretary, he will enjoy all powers and duties which are entrusted to the General Secretary. He will also assist the General Secretary in his work.

TREASURER

He will collect subscription, gift, grant in aid and donations from the members, social agencies, business typhoon and the general public and he will also be responsible for keeping and maintenance of true and correct account of the society funds. He has the right to keep Rs. 5000 with him / her for the cause of the society.

EXECUTIVE MEMBER

He / she will assist in the day work of the society as directed by the president and General Secretary.

Register of Members

The society will maintain the register of its members at its registered office. It will enter therein names and other details in register within 10 days.

The register may contain following particulars:

Name of the members

Address of the members

The date on which members are admitted etc.

Financial year

The financial year of the society will be from 1st April to 31st March, every year

Source of income and utilization

Subscription, donations, grant in aid and gifts etc. from the members, agencies, business typhoon, and general public etc., will be the source of income of the society. All the income of the society will be utilized towards the aims and objectives of the society.

Bank Operation

Bank account of the society will be operated by the treasurer and the president or the General Secretary of the society. The accounts will be audited by the qualified auditor every year.

Filling up casual vacancies

The casual vacancies may be filled up by the resolution passed by the majority of votes both the Governing body and General body.

Mode of election

The governing body of the society shall be elected for a terms of 5 years in the General body meeting. The secret ballot system and raising hands shall be of the mode of election.

Annual list of managing Governing body

Members of the Governing body of the society shall be filled up in accordance with the register of the society, Delhi as required under section 4 of Societies Registration Act 1860.

Legal proceedings

The society may sue or sued in the name of the society of president and General Secretary as per provision laid down under section 4 of Societies Registration Act 1860 as applicable.

Any amendment in the memorandum of society rules will be carried out in accordance with the procedure laid down under section 12  and 12 A of Societies Registration Act 1860.

APPEALS

All the appeals shall be preferred / carried to the general body of the society and the decision of the general body will be final.

Amendments

Any amendment in the memorandum and rules and regulations (by laws) will be carried out in accordance with the section 12 and 12A of the Societies Registration Act of 1860, as applicable to Govt. of N.C.T. of Delhi.

Dissolution and adjustment of affairs

If the societies need to be dissolved, it will be dissolved as per the provision laid down under section 13 and 14 of Societies Registration Act- 1860, as applicable to the union territory of Delhi.

Application of the Act                                                                  

All the provisions under all the sections of the societies Registration Act 1860, as applicable to the union territory of Delhi.
